Refund Policy

A legal disclaimer

At Pillar Protocol LLC, we are committed to providing high-quality, evidence-based advocacy and educational strategy. We understand that circumstances in special education can change quickly, and we aim to be as flexible as possible while protecting the time and expertise of our consultants.

1. The Intake Protocol (Non-Refundable)

The $500 Intake Fee covers the significant labor involved in our deep-dive record review, history analysis, and initial strategy development.

  • Once the record review has commenced, this fee is 100% non-refundable.

  • If you cancel your partnership before any documents have been reviewed or the initial strategy session has occurred, a 50% refund may be issued.

2. Consultation & 1:1 Coaching (Path 1 & 2)

This applies to advocacy meetings, teacher coaching, and strategy sessions.

  • Cancellations with 24+ Hours Notice: You may reschedule your session at no additional cost or request a full refund for that specific session.

  • Late Cancellations (Less than 24 Hours): These are subject to a $75 Late Cancellation Fee.

  • No-Shows: If a client does not show up to a virtual meeting within 15 minutes of the start time, the session is forfeited and no refund will be issued.

3. Digital Products & Toolkits

Due to the nature of digital assets (such as the Pillar Clarity Dashboard or UDL Toolkits), all sales of downloadable materials are final and non-refundable once the digital files have been accessed or downloaded.

4. Institutional Services & University Seminars (Path 3)

Because these events involve significant scheduling and preparation, the following tiered refund policy applies to schools and universities:

  • 30+ Days Before Event: 100% refund of the deposit.

  • 14–29 Days Before Event: 50% refund of the total contract price.

  • Less than 14 Days Before Event: No refund will be issued; however, we will allow one (1) reschedule within the same academic semester at no additional cost.

5. Retainer Agreements (The Guardian Path)

If you have committed to a monthly retainer and wish to terminate services:

  • You must provide 7 days' written notice before the next billing cycle.

  • We do not offer pro-rated refunds for the current month once the cycle has begun, as your "Pillar Expert" has already reserved that time on their caseload for you.

6. Outcome-Based Refund Requests

Pillar Protocol provides advocacy and strategy based on current special education law and best practices. However, final decisions are made by the School District’s IEP/504 team.

  • We do not offer refunds based on the outcome of a meeting. * Our fee is for our professional time, document analysis, and expert representation, not a guaranteed "win" or specific service count from the school.

7. How to Request a Refund

To request a refund or cancellation, please email [Insert Email] with the subject line "Refund Request - [Your Name]". Please include your reason for the request and the date of service. Refunds will be processed back to the original payment method within 5–10 business days.

If you feel that the service provided did not meet the professional standards outlined in your Service Agreement, please contact us directly. While we may not be able to offer a refund for time spent, we are committed to "making it right" and may offer a credit toward future services or an additional strategy call to address your concerns.
